Drawing on my experience in career counselling, here’s how to write a cover letter that’ll help you highlight your administrative skills and compel the employer to call you in for an interview.

1. Start with an engaging opening paragraph

Your cover letter’s opening paragraph is your chance to grab attention immediately, so make it personal and purposeful. Take it from me: a generic introduction like ‘I am writing to apply for the HR Administrator role’ is a missed opportunity.

On the other hand, this example mentions the company and immediately highlights the candidate’s six years of HR experience, which establishes credibility immediately.

Employers want to feel that you’re genuinely excited about their company and the role. Mentioning the company by name and referencing a specific aspect of the business, such as its reputation or values, can set you apart.

2. Showcase your relevant experience

And by that, I don’t mean write out the contents of your administrator CV in sentences.

Remember — the main purpose of your cover letter is to tie your expertise to the job you’re applying for. So outline how your previous achievements could solve the potential challenges of the new role.

For instance, if the job description highlights a need for someone who can maintain accurate employee records, you might say the following:

3. Highlight key skills

For HR roles, I always advise showcasing both your soft skills and hard skills because HR roles require a balance of both. Employers want someone who can navigate HR software and handle sensitive issues tactfully and empathetically.

For example:

4. Demonstrate knowledge of employment law

Employers want someone who will protect their organisation from legal risks while supporting employees.
